How to Configure Webmail in Gmail

Quick answer: Configure webmail in Gmail on a computer: open Settings, See all settings, then Accounts (or Accounts and Import). Add the mailbox with POP3 on mail.yourdomain.com, port 995 with SSL, and send through SMTP on port 465 or 587. Confirm the code in webmail before Send mail as works.

Why read domain webmail inside Gmail

Reading domain webmail inside Gmail puts name@yourdomain.com in the same inbox as your Gmail login. Gmail fetches that mailbox over POP3 and sends new mail through the domain's SMTP server, so recipients see the business address, not @gmail.com.

You still sign in to webmail when you need folders, or when Gmail has not fetched a message yet. This setup does not turn the domain into a Google Workspace mailbox, and it does not move mail off the host.

  • One inbox for the Gmail login and the domain address
  • Receiving in the browser is POP3, not a live IMAP sync
  • Sending uses the mailbox SMTP server after Gmail confirms the address

Create the mailbox before Gmail can fetch it

Gmail can only fetch a mailbox that already exists. In cPanel, open Email Accounts and create name@yourdomain.com, or keep the account you already use for webmail. The password on that row is the one Gmail asks for later.

Open Connect Devices on that account (some panels say Configure Mail Client) and copy the Secure SSL/TLS hosts. If the list shows mail.yourdomain.com, type that into Gmail. The cPanel email guide walks through creating the account if the row is not there yet.

Add the webmail account in Gmail with POP3

Browser Gmail fetches a domain mailbox only over POP3. The Accounts wizard has no IMAP option. Use a computer, signed in to the Gmail account that should receive the mail.

  1. Open settings. Click the gear icon, then See all settings.
  2. Open the accounts tab. It is labelled Accounts, or Accounts and Import. Under Check mail from other accounts, click Add a mail account.
  3. Enter the mailbox. Type the full address, such as name@yourdomain.com, and click Next.
  4. Choose POP3. Select Import emails from my other account (POP3), then Next.
  5. Enter the server. Username is the full address, password is the mailbox password, POP server is mail.yourdomain.com, port 995. Tick Always use a secure connection (SSL) and Leave a copy of retrieved message on the server. A label for incoming mail is optional.
  6. Save. Click Add Account. The address should show under Check mail from other accounts.

Fetch is working when Check mail now brings in a message you already see in webmail. Gmail looks for new POP mail on its own schedule, often about once an hour, so do not expect a message the second it arrives. Leave a copy on the server. If that box is unticked, POP can remove the message and webmail goes empty.

Do not type recent: in front of the username. That prefix is only for a program that downloads a @gmail.com mailbox, and it does nothing useful here. The same POP host and port 995 are what Outlook would use, but Outlook setup is a different task. POP3 vs IMAP explains why a phone usually wants IMAP instead.

Send as the domain address with SMTP

When POP is saved, Gmail asks if you want to send as that address. Choose Yes, then type the name people should see in their inbox.

Treat as an alias means Gmail treats the address like your Gmail login. Replies stay in this inbox, and the sent copy sits in Gmail's Sent. Leave it ticked when the address is only yours. Untick it for a shared mailbox such as accounts@yourdomain.com, so a reply goes back to that mailbox on the server.

Send through the domain's SMTP server, not through Gmail. Host is mail.yourdomain.com, username is the full address, and the password is the mailbox password. Use port 465 with SSL, or port 587 with TLS. Skip port 25. Many Indian home and office networks block it, which is why webmail can send while this wizard times out.

Gmail emails a confirmation code to the domain mailbox. Open webmail and read it there, because POP may not have fetched it yet. Click the link or paste the code, then Verify. It worked when the address is listed under Send mail as and a test message shows that address in the From line.

Those ports are SMTP, the protocol that hands the message to the next server. If you do not have a mailbox yet, business email hosting is the product that creates one on your domain.

Webmail POP and SMTP settings Gmail asks for

Type these values unless cPanel Connect Devices shows a different secure host. The username is always the full email address. The password is the mailbox password.

JobHostPortSecurity
POP3 in browser Gmailmail.yourdomain.com995SSL
SMTP sendmail.yourdomain.com465SSL
SMTP sendmail.yourdomain.com587TLS
IMAP in the Gmail appmail.yourdomain.com993SSL

Port 110 and port 25 are the unencrypted options. Leave them unused. If Gmail reports a certificate name mismatch, replace mail.yourdomain.com with the server hostname from Connect Devices and keep the same port.

SPF and DKIM when Gmail sends your domain mail

Send through the domain SMTP and the host's SPF and DKIM already authorize that server. A WebJi® mailbox includes SPF, DKIM and DMARC with the address. Do not publish a second SPF record. Two SPF TXT records on one domain fail the check, and mail looks unsigned.

Choosing send through Gmail instead makes Google the sender. The message can show via gmail.com, and DMARC fails unless the domain's SPF names Google. Stay on the domain SMTP unless you mean to do that extra DNS work.

A test to an outside inbox should land in the inbox, with the domain address in From and no via gmail.com note. If it lands in spam, the usual cause is the Gmail sending path or a broken SPF record, not the POP fetch.

Fix Gmail when it will not fetch or send webmail

Match the message Gmail shows to one line below. Change one setting, then test again, before you change the next.

  • Authentication failed: the username must be the full address, and the password is the mailbox password, not the cPanel login and not the Gmail password.
  • Certificate name mismatch: use the hostname from cPanel Connect Devices, still on port 995 or 465.
  • Timed out: move SMTP off port 25 and onto 587 or 465. A timeout with no code is usually a blocked port.
  • The confirmation code is not in Gmail yet: open it in webmail. POP has not fetched it.
  • Nothing new arrives: click Check mail now. Gmail does not poll every minute.
  • Sent mail rejected: the From address has to be the mailbox you authenticated as.

Add webmail in the Gmail app on a phone

The steps above need a computer browser. The Gmail app has no Accounts and Import screen, so it cannot run this POP wizard.

On Android or iPhone, open the Gmail app, then Settings, Add account, and choose Other. Do not choose Google. Incoming server mail.yourdomain.com, port 993, SSL. Outgoing server the same host, port 465 with SSL or 587 with TLS. Username is the full address.

That account uses IMAP, so folders stay on the server. Do not also turn on the browser POP fetch into the same Gmail login, or each message can show up twice. Use POP inside browser Gmail for one combined inbox, or IMAP in the app when the phone should show the mailbox on its own.

iPhone's Mail app can take the same IMAP and SMTP values under Settings, Mail, Accounts, Add Account, Other. That is Apple Mail, not a login to Gmail.

Frequently Asked Questions

How do I receive my webmail in Gmail?

On a computer, open Gmail settings, choose See all settings, then Accounts. Under Check mail from other accounts, add the address and choose Import emails from my other account (POP3). Use mail.yourdomain.com, port 995, SSL, the full address as the username, and leave a copy on the server.

How do I send from my domain email address inside Gmail?

After POP is added, choose Yes to send as that address. Enter mail.yourdomain.com on port 465 with SSL or port 587 with TLS, then confirm the code in webmail. Compose shows the domain address in From once Verify succeeds.

What are the POP3 settings for cPanel webmail?

The username is the full email address and the password is the mailbox password. The POP server is mail.yourdomain.com, or the secure host listed in cPanel Connect Devices, on port 995 with SSL. Leave port 110 unused.

Can Gmail send mail as my business email for free?

Gmail does not charge to add a Send mail as address. The domain mailbox still has to exist on your host before Gmail can fetch it or send as it.

Why is Gmail not fetching my webmail?

Check the username is the full address, the password is the mailbox password rather than the cPanel or Gmail password, and the port is 995 with SSL. Then click Check mail now. Gmail's POP check is often about once an hour, not instant.

Do I need SPF and DKIM when sending from Gmail?

Yes, if you want the message in the inbox rather than spam. Sending through the domain SMTP uses the SPF, DKIM and DMARC already on the mailbox. Sending through Gmail's servers instead can show via gmail.com unless the domain authorizes Google.

How do I add webmail to the Gmail app on a phone?

In the Gmail app open Settings, Add account, then Other. Use IMAP on mail.yourdomain.com port 993 with SSL, and SMTP on port 465 or 587. Skip this if you already fetch the same mailbox by POP in browser Gmail, or messages can duplicate.

Are Gmail's own SMTP and IMAP settings the ones for webmail?

No. smtp.gmail.com and imap.gmail.com are for a @gmail.com address in another app. For name@yourdomain.com, use the domain mail host, port 995 for POP in the browser, or port 993 for IMAP in the phone app.
