What email forwarding is, and how it differs from a mailbox
Email forwarding accepts mail at one address and relays it to another inbox. The address you publish is only a rule, not a mailbox: there is no password, no IMAP login and no stored copy at that address.
There are two different actions people call forwarding. A server forwarder, or an account setting, relays every new message automatically. Clicking Forward in a mail app does something else: it creates a new message from you, with the old one quoted, and sends that copy to people you choose.
A mailbox is the opposite of a forwarder. Mail stays on the server until a person or an app fetches it, and that person can reply as the same address. Many small sites use both: mailboxes for people who send, and forwarders for role addresses such as sales@ and careers@ that only need to be read.
- A forwarder has no storage and no login. The destination inbox is where the message actually lives.
- A mailbox has storage, a password and IMAP or POP access, so the message stays until someone deletes it.
- A manual forward is one message you choose to resend. It is not a standing rule on the domain.
Role forwarders only work after the domain MX records already point at a mail server. That server is what business email hosting provides. A forwarder cannot exist on a domain that has no MX.
How to add an email forwarder in cPanel
In cPanel, an email forwarder is a redirect you add under Email. It starts working as soon as you save it. You do not change DNS, and you do not wait for propagation, as long as MX already points at this server.

- Open cPanel, then Email, then Forwarders, then Add Forwarder.
- Type the local part, such as info, and pick the domain.
- Choose Forward to Email Address and enter the destination inbox.
- Save. Send a test to the alias and confirm it arrives, including in the spam folder.
The Forwarders list is also where you delete one. If a test never arrives, open Track Delivery, filter by the alias, and see whether the server accepted the message and where it tried to send it.
Some destination inboxes send a confirmation link before they accept the stream. Open that link, or the forward stays off. Do not chain forwarders, such as info@ to sales@ to a personal inbox. Each hop is another place the message can fail or be filtered.
Why email forwarding breaks deliverability
Email forwarding often lands in spam because the forwarder changes which server hands the message to the destination. The original sender authorised their own servers in SPF. Your server then relays that message from a different IP, so the SPF check fails.
DKIM can survive that hop when the signature still matches the body and the signed headers. DMARC needs SPF or DKIM to align with the visible From domain. If SPF fails and a changed header breaks the signature, DMARC fails and a reject policy can drop the mail.
What DKIM is covers the signature check. Publishing the record does not repair a forward whose connecting IP fails SPF.
Sender Rewriting Scheme (SRS) rewrites the envelope sender so bounces return to the forwarder and the SPF check uses the forwarder's domain. If the destination still junks the mail, stop forwarding that address and deliver it into a mailbox on the domain.
- SPF fails when the connecting IP is not in the original sender's SPF record.
- DKIM fails when the forwarder changes a signed header or the body.
- DMARC fails when neither SPF nor DKIM aligns with the From domain.
- A loop, or a chain of forwarders, multiplies those failures and can get the domain rate-limited.
When catch-all email forwarding floods the inbox
Catch-all email forwarding accepts every local part on the domain, including typos and addresses nobody created, and sends them all to one inbox. Turn it off. Unknown recipients should bounce.
A catch-all looks convenient until guessed addresses fill the destination with junk. That junk trains the destination to distrust mail from your domain, including the messages you meant to forward. Automatic replies to forged senders can also get the server listed.
- Create only the addresses you publish, such as info@, sales@, and the staff mailboxes.
- Leave the default address unset, or set it to discard or bounce, not to a person.
- Do not point a catch-all at a free inbox. The volume will look like spam to that provider.
How to reply from a forwarded address
You cannot reply as a forwarded address from the forwarder, because there is no mailbox and no password there. The message sits in the destination inbox, and a normal reply leaves from that inbox, not from the alias.
To send as the domain address from Gmail, add it under Send mail as and sign in through the domain SMTP server, usually mail.yourdomain on port 587 with STARTTLS. Use that server, not Gmail's own sending path, or the message is routed as Gmail. The SMTP login has to be a real mailbox.
If staff must send and receive as sales@, give them a mailbox rather than a forwarder. The email migration guide covers moving mail you already have into that mailbox.
When email forwarding should become a mailbox
Keep email forwarding for a role address that people only read, and that can survive a message landing in spam. Move to a mailbox when anyone must send as that address, keep a copy on your server, or rely on the message for an order, a payment or a notice.
| Point | Email forwarder | Mailbox |
|---|---|---|
| What it stores | Nothing at the alias | The message, until you delete it |
| Can you log in? | No | Yes, by IMAP, POP or webmail |
| Reply as that address | Only with a separate mailbox SMTP login | Yes |
| Inbound check | SPF often fails on the extra hop | The sender SPF check happens once, at your server |
| Use it when | A role address is only read | Someone must send, file or rely on the mail |
A forwarder is not a backup. If the destination deletes the message, or the forward fails, your server has no second copy. Storing mail is a different job from relaying it.
Email forwarding limits and how to turn it off
Email forwarding stops when you delete the forwarder. In cPanel, open Email, then Forwarders, then Delete beside the alias. In a mailbox such as Gmail, open the forwarding setting, disable it and save. A filter that forwards only some messages is separate, so turn that off too or mail still leaves.
Look for a forward you did not create before you treat the account as clean. Open the forwarding screen and the filter list. If a destination you do not recognise is listed, remove it and change the mailbox password. A banner in the inbox is only a hint. The setting is the proof.
Other limits are practical. The destination can reject large attachments or mail that was auto-forwarded. Two addresses that forward to each other loop until the server stops them. A forwarder does not open webmail, and it keeps nothing if the destination account is closed.
- Delete the forwarder, then send a test. It should bounce, or sit only in a real mailbox, not arrive at the old destination.
- Remove filter-based forwards as well as the account-wide forward.
- Do not stack more than one hop. Point the alias straight at the inbox that will read it.
Frequently Asked Questions
What is email forwarding?
Email forwarding accepts a message at one address and sends it to a different inbox. The forwarding address has no mailbox, no password and no stored copy.
How is email forwarding different from a mailbox?
A mailbox stores the message and lets you log in and reply as that address. A forwarder only relays the message. Once it reaches the destination, the forwarder has nothing left.
How do I set up email forwarding for my domain?
In cPanel, open Email, then Forwarders, then Add Forwarder. Enter the alias and the destination address, save, and send a test. The domain MX records must already point at the mail server.
Why do forwarded emails go to spam?
The forwarder relays the message from a server the original sender did not list in SPF, so the destination treats the hop as suspicious. If DKIM also breaks, DMARC can reject the message.
What is catch-all email forwarding?
Catch-all forwarding sends every address on the domain, including ones you never created, to one inbox. It collects spam and typo mail. Leave it off and let unknown recipients bounce.
Can I reply from a forwarded address?
Not from the forwarder. A reply sends from the destination inbox unless you add the domain address in the mail app and authenticate with a real mailbox SMTP server on port 587.
How do I turn off email forwarding?
Delete the forwarder in cPanel, or disable forwarding in the mailbox settings and save. Also delete any filter that forwards matching messages, then send a test to confirm it no longer arrives.
How can I tell if my email is being forwarded?
Open the account forwarding settings and its filters. If a destination you did not add is listed, someone with access turned it on. Remove it and change the password.
