VPS for Cold Email

Quick answer: A VPS for cold email is a server with one dedicated IP, a PTR record that matches your mail hostname, and SPF, DKIM and DMARC on a domain you do not use for company mail. Warm that IP for two to four weeks before an agency sends real prospecting volume.

How a VPS for cold email is built

A VPS for cold email is the machine, one dedicated IPv4 address, and a domain you do not use for the company website. Mail leaves from that IP, or the server hands it to a relay. The company domain stays on normal business mail.

People who search for a Gmail or Outlook VPS usually need secondary mailboxes at Google Workspace or Microsoft 365, not a mail server of their own.

Agencies should give each client a separate sending domain and a separate IP. One shared IP means one dirty list damages every other client on that address.

WebJi® VPS hosting is the server. It is not a warmup network, a list, or a cold-email app. Ask support@webji.services whether the plan allows the outbound mail you intend before you pay. Invoices add 18% GST. Keep company mail on business email.

Why shared hosting fails cold email

Shared hosting sends from an IP other customers already use. You inherit their reputation, you cannot set PTR, and prospecting volume breaks a normal shared-host mail cap. Order receipts and password resets can stay there. Cold email cannot.

Dedicated IP, PTR and DNS on a cold-email VPS

The dedicated IP is the reputation. Set PTR to a mail hostname on the sending domain, and point that hostname's A record back at the same IP. A one-way PTR, or a hostname that does not resolve, fails the check inbox providers run.

Direct delivery also needs outbound port 25. Many VPS networks block it until you ask, and some never open it. If it stays closed, run the campaign app on the VPS and hand mail to a relay on port 587. Do not assume a new server can speak SMTP to Gmail on day one.

If you install the mail server yourself, start from a Linux VPS. Windows fits apps that need it, not a typical mail stack.

  1. Note the dedicated IPv4 on the VPS.
  2. Add an A record for a mail hostname, such as mail.clientdomain.com, to that IP.
  3. Set PTR on the IP to that exact hostname.
  4. Confirm the hostname resolves to the IP and the IP resolves to the hostname.
  5. Send one test to a mailbox you control before any prospect is on the list.

SPF, DKIM and DMARC for a cold-email domain

Publish one SPF record, turn on DKIM, and add DMARC at p=none until reports look clean. Two SPF records invalidate both. Wait out the DNS TTL before you judge a test.

  • SPF names only this server or the relay. Extra includes you do not send through waste the 10-lookup limit.
  • DKIM is the public key your mail software prints. The selector in the signature must match the DNS name.
  • DMARC starts at p=none so you can read failures. Move to quarantine or reject only after aligned mail passes.

IP warmup schedule for a cold-email VPS

Plan two to four weeks of mail that people expect before you raise prospecting volume. A new IP has no history. A large first send looks like a blast even when SPF, DKIM and DMARC pass.

  1. Week 1: write only to people who know the mailbox, such as your own team.
  2. Week 2: add a few real prospects only if week 1 was accepted and not marked as spam.
  3. Weeks 3 and 4: raise the daily count in small steps. Stop the day hard bounces or complaints show up.
  4. After the ramp, keep that daily ceiling. Do not catch up after a quiet weekend.

Mailbox guides, including Mailivery's article updated 30 March 2026, tell a new inbox to stay under 50 messages a day during early warmup. Treat 50 as a ceiling from that article, not a WebJi® quota.

Daily limits and bounces on a cold-email VPS

CPU does not set the daily cap. Reputation does. SuperSend's comparison, updated 3 October 2026, lists its own default at 15 cold emails per mailbox per day and cites other calculators near 30. Grow by adding domains and mailboxes, not by pushing one IP harder.

Hard bounces mean the address was wrong. Remove them before the next send. A spam complaint is worse: pause that domain, fix the list, and do not move the same list onto a fresh IP.

When a bulk email VPS is the wrong job

A bulk email VPS is for opted-in newsletters at high volume, usually through a relay. Cold email is a few targeted messages from a warmed IP on a spare domain. They are different jobs.

A server sold for unlimited SMTP, then loaded with a scraped list, gets the IP blocked and can breach the host's rules. Use bulk tools only for mail people asked to receive. Use this cold-email setup only when you can say who is on the list and how they opt out.

Cold email rules in India, the EU and the US

An email address is personal data under India's DPDP Act 2023. Commercial mail to people who did not ask, with no lawful basis, is a legal risk. A VPS does not create that basis.

In the EU, GDPR still needs a lawful basis. Targeted B2B mail is sometimes argued as legitimate interest, and it still needs a clear opt-out. In the US, CAN-SPAM needs true headers, a real postal address, no deceptive subject, and an opt-out you honour promptly.

Google and Yahoo publish extra rules once a sender reaches about 5,000 messages a day to their users: authenticate the domain, offer one-click unsubscribe, and keep the spam-complaint rate under 0.3%. Complaints, not the size of the VPS, are what burn an IP.

Frequently Asked Questions

Can I send cold emails from a VPS?

Yes. You need a dedicated IP, a PTR you can set, and a host that allows that outbound mail. Shared hosting does not. Email support@webji.services before you install a mail server. The office phone is not a support line.

Do I need a dedicated IP for cold email?

Yes, if your own mail server delivers the messages. That IP is the reputation, and a shared IP mixes you with other customers. A relay is the other path: its IPs deliver, and your VPS does not need port 25.

What is IP warming for cold email?

Two to four weeks of small, expected mail before you prospect. Raise the daily count only while messages are accepted and nobody marks them as spam. A new IP that sends hundreds on day one looks like a blast.

How many emails can a VPS send per day?

There is no honest number based on CPU. Keep each mailbox near the low caps vendors publish, often 15 to 30 cold emails a day, and add domains when you need more. Stop if hard bounces pile up.

Why do cold emails go to spam?

SPF, DKIM or DMARC is missing or broken, the PTR does not match the hostname, the IP was never warmed, the list was scraped, or people complained. Passing authentication does not force the inbox when the list is bad.

Is a bulk email VPS the same as a cold-email VPS?

No. A bulk email VPS is for opted-in newsletters at high volume. A cold-email VPS is low-volume prospecting on a warmed dedicated IP and a spare domain. An unlimited SMTP offer is the wrong buy for both.

Which VPS is best for cold email?

The one that gives you a dedicated IP, PTR you can edit, and a clear answer on outbound port 25. WebJi® quotes a VPS by email before you pay. It does not sell warmup, lists, or a ranking of other hosts.
